Collections – Asset Browser<\/figcaption><\/figure><\/div>\n\n\n\n

Collections are a way to group assets in one place even when they are located in different projects or locations. For example, you might use these for viewing all of the assets related to a specific category or share a specific set of related assets.<\/p>\n\n\n\n

There are two types of collections:<\/p>\n\n\n\n

Type<\/th>Description<\/strong><\/th><\/tr><\/thead>
Static Collection<\/strong><\/td>A collection where the user explicitly adds assets. Assets can be drag-and-dropped into this collection.<\/td><\/tr>
Dynamic Collection<\/strong><\/td>A collection that is created dynamically using search criteria. For example, a collection for all assets that have the keyword presidents.<\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n

Collections also have the option of being Fixed<\/span>. Fixed<\/span> means assets that are added to the collection will stay at that specific revision even if newer revisions of that asset are created. This option is only available for static collections.<\/p>\n\n\n\n

These collections can also be shared with others using the Web Client<\/a>. Static collections can be shared with Zoom users as well as external users. Collection admins can share with external users by inviting over email or sharing a public web link. Dynamic collections cannot be shared with external users, but only with Zoom users.<\/p>\n\n\n\n

Collections can also have sub-collections. For example, if you had a collection that found all of the assets with the keyword Presidents and wanted to narrow it down to specific presidents, such Barack Obama, a sub-collection can be a subset of its parent collection.<\/p>\n\n\n\n

These collections are accessible from the Asset Browser as well as the Web Client. Let us look at working with collections in the Asset Browser.<\/p>\n\n\n\n

Creating a Dynamic Collection<\/h3>\n\n\n\n
  1. In the Asset Browser<\/span>, click<\/span> the \"Description: Search<\/span> button in the top-left corner.<\/li>
  2. Click<\/span> the Advanced Options<\/span> button.<\/li>
  3. Set your search parameters.<\/li>
  4. Click<\/span> the Search<\/span> button.<\/li>
  5. After your results appear, click<\/span> the \"Description: Save button in the top-right corner.<\/li>
  6. Enter<\/span> the name you would like to name the collection in the Name<\/span> field.\n

  7. Under Add<\/span>, Select<\/span> Filters<\/span>.<\/li>
  8. Click<\/span> OK<\/span>.<\/li>
  9. In the Collections<\/span> panel, you will see your new collection appear. Double-click<\/span> the collection to open.

    Creating a Static Collection<\/h3>\n\n\n\n
    1. In the Collections<\/span> panel, click<\/span> the \"Description: Add Collection<\/span> button.<\/li>
    2. Enter the name you would like to name the collection in the Name<\/span> field.

    4. From your Browse<\/span> or Search<\/span> view, drag-and-drop<\/span> an item onto your collection.<\/li>
    5. To view the collection, double-click<\/span> your collection in the Collection<\/span> panel.

      Creating a Fixed Collection<\/h3>\n\n\n\n

      By default when you create a collection, assets in a collection will update with newer versions of the file when newer revisions are created. However, sometimes there are needs for someone to save a collection at the specific revisions that do not change. In this event, you need to set your Collection to Fixed.<\/p>\n\n\n\n

      Create a New Fixed Collection<\/h4>\n\n\n\n
      1. In the Collections<\/span> panel, click<\/span> the \"Description: Add Collection<\/span> button.<\/li>
      2. Enter the name you would like to name the collection in the Name<\/span> field.

      3. Check the checkbox called Fixed Version<\/span>.<\/li>
      4. Click<\/span> OK<\/span>.<\/li><\/ol>\n\n\n\n

        Set a Current Collection to Fixed<\/h4>\n\n\n\n
        1. Open<\/span> your collection by double-clicking<\/span> on it in the Collections<\/span> panel.<\/li>
        2. In the left sidebar, click<\/span> the Fixed version<\/span> checkbox.

          Sharing a Collection<\/h3>\n\n\n\n

          Collections can be shared with a specific user, a specific role, or members of a specific project.<\/p>\n\n\n\n

          When a collection is shared with a role or a project in the Asset Browser, there is no way to know which users got access to the collection on this basis in the Web Client. Additionally, these users can only view the collection, even if ‘Can Edit’ or ‘Can Edit\/Delete’ permission was assigned to their role or project.<\/div>\n\n\n\n

          Follow these steps to share the collection:<\/div>\n\n\n\n
          1. Open<\/span> your collection.<\/li>
          2. In the left sidebar, click<\/span> the Share<\/span> button.<\/li>
          3. Choose<\/span> which category you would like to share with (User, Role, Project).<\/li>
          4. To add a role, begin to type the name of the role. The system will automatically complete the name.<\/li>
          5. Select the value.

            The options for permissions assigned to the users through Asset Browser and the Web Client differ slightly so that these do not map completely.
